Privacy Policy
This policy explains what information Clockwork Outbound ("Clockwork," "we," "us") collects, how we use it, and the choices you have. It covers two different groups of people, because we handle their information differently:
- Our clients — the fire and life safety contractors who buy our service.
- Prospects — the property managers, building owners, and facilities staff we email on a client's behalf.
1. Information we collect from clients
When a contractor signs up and uses Clockwork, we collect:
- Account details: name, company name, work email, and your website domain.
- The targeting you approve (your service area and ideal-customer profile).
- Billing information, processed by our payment provider (Stripe). We do not store full card numbers ourselves.
- Usage of the product, and the messages, replies, and meeting records tied to your campaigns.
2. Information we handle about prospects
To run outbound on a client's behalf, we process business contact information about prospects, gathered from public records and reputable data providers:
- Business contact details: name, business email address, company, and role.
- Public building and property records: certificates of occupancy, building sales, property-management changes, and publicly filed fire-code violations, each tied to a commercial property.
We process this information to send relevant, one-to-one business email on our client's behalf, to handle replies, and to book and verify meetings. We only contact people in a business capacity, in the United States.
3. How we send email
Email is sent as plain text. We do not use open-tracking pixels or link trackers in the messages we send. We measure replies, not opens. Messages go out from sending domains that Clockwork owns and operates, never from a client's own website domain.
4. Opting out
Anyone can opt out of receiving email from us. Every message includes a way to unsubscribe. When someone opts out, we record it within about a minute and apply it globally across every client we operate, permanently. That person is not emailed again by any Clockwork campaign.
To make a request about your information, including access or deletion, email support@clockworkoutbound.com.
5. Service providers we share data with
We use a small set of vendors to run the service, each handling only what they need to:
- Email sending infrastructure and deliverability.
- Payment processing (Stripe).
- Scheduling and meeting attendance (Cal.com).
- Database and hosting (Supabase, Vercel).
- Address verification, to confirm an email is deliverable before sending.
- A language-model provider used to draft and classify messages. Message content may be processed by this provider to run the service; it is not used to train third-party models.
We do not sell personal information.
6. Data retention and security
We keep client account data for as long as the account is active and as needed to meet legal and accounting obligations. Prospect and campaign records are retained to operate the service and maintain the audit trail behind billing. We protect information with access controls, encryption in transit, and least-privilege internal access.
7. Where we operate
Clockwork operates in and sends only to the United States. The service is not directed to individuals outside the US.
8. Changes to this policy
We may update this policy. When we make a material change, we will update the date above and, where appropriate, notify clients.
