Deliverability

Your name is on every email. This is how we keep it clean.

We buy the addresses early, warm them for weeks, and watch them every day. Your own domain never sends a thing.

Illustrative. The sending domain is one we own, never yours.

The daily limits

We send slow, on purpose.

Your name never shows up looking like a blast, because no inbox of ours ever sends enough volume to read as one. Every inbox has a hard ceiling it can't cross, and a new one earns its volume over about a month before it runs at full speed.

Per inbox, per day
20 / 25 max
we hold at 20, never past 25
Domain age first
30+ days
aged on our shelf, not on your time
Inbox warm-up
14+ days
done before you're ever assigned one
To full speed
~30 days
sending the whole time, six stages up
None of that clock is yours. We buy the domains and warm the mailboxes before anyone is assigned to them, so the one you get is already aged past thirty days and sending on its own schedule. You start when you approve the list, not when a registrar's calendar says so.

The warm-up

A new inbox earns its way up.

A new inbox never gets to gamble with your name. It earns full volume through six stages, and it only moves up when its record is clean, low bounces and zero complaints, not just because time went by.

StageMinimum timeWhat it takes to move up
15 daysA clean record at the lowest volume: bounces under target, zero complaints.
25 daysSame clean record held at the next volume up. Time alone doesn't advance it.
35 daysStill clean, volume steps up again. A bad stretch holds it in place.
45 daysClean record required at each step; the gate is engagement, not the calendar.
55 daysNearly at steady state, still earning each increase.
65 daysSteady state: 20 a day, 25 ceiling. About 30 days from a cold start.
Why it's built this way: the six-stage, engagement-gated ramp matches the sending patterns Google and Microsoft reward in 2026, where accounts that miss the platforms' formula-based quotas get suspended in bulk. Sending slow and earning volume is how a domain stays out of that net.

The auto-stops

When a number crosses the line, sending stops on its own.

The system watches its own health, every domain, every day. The moment a number crosses the line, it pulls the plug on itself.

Bounce rate
<2%
the domain auto-pauses at 3%
Spam complaints
0.05%
hit that and the domain is done
Health check
24h
stale data means sending pauses
When unsure
Stop
the system fails closed, always

These limits run on every domain we own, every day.

The gates

Every send clears the same checks, every time.

Nobody gets an email from you unless the send passes all of these at the moment it goes out. If any one is unclear, we skip that person rather than risk it.

The address is real and reachableEvery address is verified deliverable before we send. Risky or unknown ones get dropped.
They haven't opted out, anywhereWe check a global do-not-contact list on every send. One opt-out, from any of our clients, and that person is never emailed again.
They're in the US, and a fitUS-only jurisdiction, and only buildings and property managers that match the profile you approved.
The reason is freshWe only reach out on something filed in the last 30 days. An old certificate of occupancy or a stale violation isn't a reason to email, so we don't.
Not behind a corporate spam wallWe screen out recipients behind secure email gateways (Proofpoint, Mimecast, Barracuda). Those never reply and they hurt the domain, so we skip them entirely.

The infrastructure

We send from our own, and we keep everyone separated.

Your website domain never sends a cold email. It all goes out from domains we own, warm, and watch, and no two clients ever share one.

Never your own domain

Email leaves from our own warmed addresses, in your company's name. If anything ever goes wrong with the sending, it's our domain on the line, not your website.

One client per domain, ever

Your sending domain is yours alone while you're with us. It's never shared, and if you leave, it retires for good. We never recycle a domain to another client.

Two inboxes to a domain

We hold at two mailboxes per domain and never go past three, and we never spin up domains on the same tenant on the same day. Both are patterns the platforms treat as abuse.

Google and Microsoft, both

We run on both platforms from day one, held to the same limits. When one changes its rules, your sending doesn't live or die on that single decision.

Opt-outs

One unsubscribe. Off every list, everywhere.

This is the single thing most likely to protect your name in a trade this tight-knit, so we don't cut a corner on it. When someone asks to stop, they stop: honored in under a minute, and it propagates across every client we run, not just yours, so nobody ever hears from us twice.

Plain text, no tricks: every email is plain text with no open pixel and no link trackers. We measure replies, not opens, so there's nothing running in the background of a message sent in your name. What the property manager sees is exactly what you'd have written yourself.

Straight answers

Questions you'll probably have.

Does Clockwork send cold email from my company's domain?

No. Every email goes out from domains we own and warm, never your website domain. Your company name appears in the from line, but the sending reputation rides on our infrastructure, not yours.

What happens if the emails start bouncing?

The domain pauses itself automatically. We target a bounce rate under 2 percent, and any domain that reaches 3 percent stops sending until it's investigated.

How fast is an unsubscribe honored?

In under a minute, and globally. One opt-out removes that person from every campaign we run, across all clients, permanently.

Do the emails use open tracking or link pixels?

No. Every message is plain text with no open pixel and no link trackers. We measure replies, not opens.

How long before my emails start going out?

Days, not months. The domain-age and warm-up clocks run on our own inventory before you're assigned, so you're not waiting on either one. Once you approve the list, sending starts at low volume and steps up to full speed over about a month, which is how the platforms want it done.
